Delete your account
How to ask, what is deleted and when, and what is kept and why.
How to ask
Email support@miniaccounts.uk from the address your account is registered with, and say that you want the account deleted. You can also write to the address on the Contact page. We may ask you to confirm the request from the account’s email address, so that nobody else can close your account.
There is no delete button inside the app. Deleting is done by us, on your request.
Before you ask
- Take a copy of your books. While your plan is active, the Data screen’s Export Full Backup (JSON) saves them to a file.
- A business with cloud storage: the books stored in your account will be deleted, so take the copy first.
- A practice: your client books are in the folder on your own computer. Deleting the account does not touch that folder.
- Books shared with an accountant, whether you gave access or were given it, stop being shared.
- Payroll records. An employer must keep its payroll records for three years after the end of the tax year they relate to. They are in your books, so take the copy before you ask.
What is deleted, within 30 days of your request
- your account: the business or practice name, the kind of account, email address, mobile number, the code we check your sign-in against, and your plan and its dates;
- your sessions, and the list of devices signed in to the account, with the one-way code made from a practice’s name;
- every copy of the books stored in your account, and the list of them;
- the locked copy of your encryption key kept for a second device;
- your account’s sharing keys, and every share of books with an accountant.
Once the account is deleted you are signed out everywhere, and it cannot be opened again.
What is kept, and why
- Payment records, for 8 years. For each payment: the date, the amount, the plan, the invoice, and the email address it was made under. We keep them because we must keep accounts of the money we receive under the law that applies to us in India, and so that a question about a payment can still be answered.
- A record of what was agreed and done, for the same 8 years: when you agreed to the Terms of Service and the Privacy Policy; what we did to the account by hand, such as switching it on, extending it or suspending it, with the plan and dates it changed and any reason written with it; and that the account was deleted at your request. Each record names the account by the email address it was registered under. This shows what was agreed and what was done.
What we cannot delete
- copies on your own devices: a practice’s folder, a backup you exported, and the copy the browser keeps (clear it by clearing this website’s data in the browser);
- a copy of shared books an accountant has already downloaded;
- emails in your own mailbox.
A demo enquiry
A request for a demonstration is kept apart from accounts. Ask and we delete it; otherwise it is deleted after 30 days if the email address was never confirmed, and after 18 months if it was.
